Understanding Virtual Visit Options & Late Cancellation Policies
Can I switch my appointment to a virtual visit with less than 24 hours’ notice to avoid a Late Cancellation Fee (LCF)?
We understand that plans change, but at this time, we are no longer offering last-minute switches to virtual visits as a standard option.
Why not?
While we strive to be flexible and accommodate last minute scheduling conflicts, offering a virtual appointment on short notice often results in patients joining from settings that aren’t safe, private, or appropriate (such as a car, a busy office, or a public space)
- Limited ability to participate fully in treatment due to distractions or lack of space to complete exercises
- Reduced clinical quality, which can affect your care and experience
What if I still feel like I could attend virtually?
Unless your virtual session was scheduled in advance and you’re in a safe, private space:
- We aren’t able to accommodate a same-day switch to virtual care
- You are welcome to submit a Late Cancellation Fee Waiver Request if you feel your reason for missing the appointment qualifies for an exception, we’ll review it thoughtfully. Please see “What if I had an emergency?” in our cancellation policy FAQ
Is this different from what you’ve done before?
Yes. In the past, we’ve occasionally allowed virtual visits as a last-minute workaround to avoid a Late Cancellation Fee. However, after reviewing patient and provider feedback, we’ve updated our policy to support higher-quality care and a more consistent experience across clinics.
